Job description :

We are looking for an Administrative Assistant for our client, a major player in the tourism industry in Montreal. Reporting directly to the Vice President, as Administrative Assistant you will play a key role in supporting activities, ensuring the smooth running of the department and promoting effective collaboration between the various teams. 

Responsibilities : 

  • Manage the Vice-President's agenda. 
  • Email management, filtering, prioritizing and processing. 
  • Organize business travel and reservations. 
  • Manage expense accounts and process invoices. 
  • Coordination of guests and tickets for industry events. 
  • Scheduling external and internal committee meetings. 
  • Preparation of meeting minutes as required. 
  • Follow-up on signatures and files with managers. 
  • Manage relations with partners, media and other department contacts. 
  • Organize department activities and update contact database. 

Skills and qualifications :

  • Degree in office technology, administration or related field. 
  • More than 3 years experience in a similar position. 
  • Advanced knowledge of Microsoft Office suite. 
  • Excellent command of spoken and written French, adequate knowledge of English. 
  • Strong oral and written communication skills, attention to detail. 
  • Strong interpersonal skills. 
  • Ability to work independently, meet multiple deadlines and demonstrate initiative, listening skills and adaptability.
